Can I specify which room is selected? Answer
Yes, to do this you need to use a slightly modified link on your website and / or iframe as follows:
https://booking.acolytecrs.com/hotelroom/unique_room_id/hotel_id.html
Where:
"unique_room_id" is the id you give the room e.g. "single"
"hotel_id" is the id for your hotel
If using an iframe on your website you would need to use this link within the code for that also.
You might want to couple this with a promotion or voucher code. To do this the link would be like:
https://booking.acolytecrs.com/hotelroom/voucher_id/unique_room_id/hotel_id.html
Where:
"voucher_id" is the unique id of your promotion.

Can I offer group bookings? Answer
Yes guests booking using a PC or Mac can choose up to three rooms at once.
Currently guests booking using a smart phone can only book one room type at once, though there is nothing to stop them making a second booking!

Do I have to let guests book 3 rooms at once? Answer
No, if you wish we can limit the choice of rooms to one or two. We would usually do this for you after your initial trial period as part of the tailored look and feel.

Can I have any room types I like? Answer
Yes, choose names for your room types based upon your own rooms and packages

How many room types can I have? Answer
You can specify as many room types and combinations as you like, all priced independently. We would recommend not giving your guests too many choices however just to make booking easier.

Can I add and change my room types? Answer
Yes, you can change room types as often as you like. Note that it is usually better to edit an existing room type and preserve its rates and availability data than to delete it and create a new one.

Do I need to pay if my guests don't arrive? Answer
No, booking commission is payable after the arrival date of the booking has been reached.
Provided you or the guest have cancelled the booking on or before the arrival date no commission will be payable for the booking.

What languages do you support? Answer
We currently support booking using English, Spanish, French, German and Italian.

I don't know how to make a link from my website, can you help? Answer
acolyte will supply you with a link to use on your website or iframe code if you want to use that.
If you cannot do this yourself and are not in contact with your own web designers we will be able to help you edit your website. We normally charge a small fee equivalent to 40 Euros for this.
We will need to gain FTP access to your website but can make the necessary enquiries to find out how to do this if you can tell us how to contact the company hosting your website.

What if I don't speak the languages the system works in? Answer
We can hide the part of the screen that allows users to choose a different booking langage and also help you set a different default language than English if you wish.
We would usually do this for you after your initial trial period as part of the tailored look and feel.

What currencies do you take? Answer
We currently allow booking using the following currencies:

Yes, we can change the currency that you work with for you, just contact us to ask us to make the change.

Can I control which cards my guests can book with? Answer
Yes, you can choose to work with all or a selection of the card types which offer:
- Visa
- Mastercard
- Maestro
- Delta
- Electron
- Amex
- Switch
- Solo
- Eurocard
- Lazer
If you normally offer a card type which we do not currently support just ask us to add it to our list.

Can I use the system if I don't have a hotel? Answer
Yes, acolyte is very flexible and can be used with hotels, guesthouses, bed & breakfasts, lodges, villas, hostels, pretty much any type of accommodation that can be booked.

Can I take deposits? Answer
Yes, you can take a variety of different types of deposits including:
- Pay first day or a specific number of days
- Pay a percentage of total booking cost
- Pay a fixed amount
All of these deposits are presented to the customer in such a way that it is clear that the deposit must be paid immediately

Can I give out discounts? Answer
Yes, acolyte offers the following discounts:
Long Stay Discount: You can set a percentage discount based upon how long a guest stays
Early Book Discounts: You can set a percentage discount based upon how long before arrival a guest books. You can set two tiers of these.
Promotional Discounts: You can run promotions, giving out one use or multi use voucher codes to award discounts. These can also be set to be awarded based upon length of stay, dates of stay (e.g. Valentine's weekend)

Can I run promotions? Answer
Yes acolyte allows you to run any number of promotions to give your guests discounts via single use or multi use voucher codes.
If you wish, promotions can be set to be awarded based upon length of stay or dates of stay (e.g. Valentine's weekend).
You can also control the dates when the promotion code can be entered during booking.

I want my guests to stay for two days if they arrive on Saturday. Do you support minimum stays? Answer
Yes, you can specify the minimum stay days on a day per day basis using the Rates and Availabilty screen.

I run a self catering villa and I only want guests to arrive and leave on Saturdays can I do that? Answer
Yes, you can specify the week day that guests arrive and depart and acolyte will enforce this during booking.
The default is that guests can book on any week day.

Yes, we work on a commission basis so this wouldn't be the norm but if you contact us we can support you on a small subscription-based or transaction based basis.

I use Google Analytics to monitor my website, can use this with acolyte? Answer
Yes, acolyte allows you to use your own Google Analytics code.

What if my guests want to cancel their booking? Answer
Guest can cancel their bookings via a link that they are given in their booking confirmation email. A copy of this is also sent to you.
You can choose not to allow cancellations or to restrict the time period during which cancellations are allowed. You can override these restrictions yourself.
Guests must supply a reason for cancellation.
If a booking is cancelled both you and the guest are sent an email confirming the cancellation.

What if my guests want to change their booking? Answer
Currently guests can cancel their booking then make a new one to make modifications.
We are working on and will soon release an update to acolyte that will allow guests to directly modify their bookings. This will be covered by the same restriction systems as cancellations. This will be "opt in" - it will be possible for you to prevent booking modification if it does not work with your own policies.

If I don't want to continue using the system after the first month do I have to pay for arrivals during that time? Answer
No, if you sign up your accommodation with us and decide that you don't want to use the system after the one month trial period you can walk away.
After the trail period ends the system will stop allowing bookings unless you decide to continue using it.

I have a hotel group - can I run more than one hotel with one login? Answer
Yes, if you contact us we can set you up as an "agent" user. Agent users can manage more than one hotel with one login.
Each hotel can have a separate email address for bookings or share an email address. The look and feel of the different hotels' booking screens can be the same, similar or different depending upon your choice.

I have stopped using Booking Booster do I need to stop using acolyte as well? Answer
No acolyte can (and indeed usually does) work independently from Booking Booster. Please contact us to find out how to perform the transfer.
Note that if you were using Booking Booster as the source of your rates and availability data you will need to transfer this to acolyte.

How do I set up my gallery? Answer
The gallery function requires you to send us pictures of your accommodation and rooms. We would usually do this for you after your initial trial period as part of the tailored look and feel.

Does the system work with PayPal, World Pay or other payment providers? Answer
Yes, it is easy for us to set you up so that guests make full or deposit payments via PayPal or WorldPay. Just contact us with your PayPal email address or WorldPay ID to ask us to set this up for you.
We can set up the system to work with other payment providers, just contact us to ask.

I prefer to work "request only" can I do that? Answer
Yes the system can be set up to be "request only", just contact us to ask us to set this up for you.
Note that since the system is commission based, guests must be shown a total cost for their booking even if not paying immediately and it is this which we will use to calculate commission.

I want to offer meals and other added extras as part of the booking can I do that? Answer
How do I pay you and how often? Answer
Payment is monthly via PayPal based upon your start date. You do not have to have a PayPal account to use PayPal.
PayPal payments can be made using a credit card or PayPal account. If you have a PayPal account you can associate this with a bank account for direct bank transfer. You therefore do not need to have a credit card to pay us.
Commission payments are based upon arrival dates within the last month. You do not pay for bookings cancelled on or before the arival date or bookings with arrivals in the future.
Booking commission calculated for hotels in the United Kingdom will include VAT but we will not add this on top of the commission and will treat it as part of the commission.

I have no credit card, how do I use PayPal to pay you? Answer
If you have a PayPal account you can associate this with a bank account for direct bank transfer. You therefore do not need to have a credit card to pay us.

We do not currently offer a Direct Debit service but hope to offer this in the future.

Can I set my own Terms and Conditions? Answer
Yes, you can and should use acolyte to show guest your own Terms and Conditions during booking and in the booking confirmation email.
During booking guests are asked to confirm that they agree to your Terms and Conditions.
Part of the booking screens (left side and bottom) can be edited by you using acolyte and you can use these areas to show important information from your Terms and Conditions that you wish to highlight.

Can I use the system within my hotel itself? Answer
Yes, acolyte is web browser based and can be used on a computer that has an Internet connection.
Note that acolyte is not a substitute for a full CRM system which includes purchases made within your accommodation but a small premises or a self catering premises could probably use it is its only in-house system if required.

Can my guests book using an iPhone? Answer
Yes, guests booking using smart phones will see a version of acolyte tailored to make booking easier than if they were booking using full sized web pages.

I use the Internet Explorer 6 as my web browser, can I use that? Answer
Yes, we recognise that many hotels have old computer equipment. Both the booking experience and the acolyte control console are thoroughly tested to work with Internet Explorer 6 as well as all modern web browsers.

Can I use this system with my iMac? Answer
Yes, acolyte works with Safari and Firefox web browsers on the iMac.

Can I add to the text of the booking email? Answer
Yes each booking email contains standard test in english regarding thr booking itself but you can add you own text in any language to the emails sent.
For example you may want to give guests your own introduction to your hotel or guesthouse to personalise the email or give parking instructions.

Do I have to use the system with Booking Booster? Answer
No, the two systems complement each other but there is no need to sign up with Booking Booster to use acolyte.

Why haven't you made me a tailored look and feel yet? Answer
We would usually do this for you after your initial trial period, once you have committed to keep using the system. We will contact you about this after the end of the trial period.
If you absolutely want to get on with things straight away and want to commit to use acolyte before the trail period ends please contact us and we can get things moving faster for you.

Is my data safe with you? Answer
Yes we keep your data safe and perform regular backups. Our web hosts are world class and have the latest tools at hand to prevent data intrusion. Important data and communication channels are encrypted.
We advise you to keep you login details to a minimum number of staff and to regularly change your password.

I don't like percentage commission I want a transaction based payment model? Answer
We can work that way but we suggest that for the most part you will save money with a percentage commission based model.
